1. Appointment Policy

Appointment policy means the rules for booking, confirming, and attending scheduled consultation and rehabilitation appointments.
Appointments are mandatory before visiting the clinic.
Consultation and treatment are provided only through prior appointment.
Patients are requested to arrive on time for their scheduled appointment.
If you are unable to attend, please inform the clinic in advance to cancel or reschedule your appointment.
We follow a strict “One Patient – One Therapist – One Slot” policy to ensure dedicated and uninterrupted care for every patient.

2. Consultation Policy

Consultation policy means the initial professional discussion and screening used to understand the patient's condition and rehabilitation needs before treatment.
Consultation with a Neuro Physiotherapist is mandatory before starting any treatment or rehabilitation program, regardless of outside doctor prescriptions or recommendations.
Consultation and treatment sessions are different services and are scheduled separately.
During the consultation, medical history collection, preliminary screening, and rehabilitation orientation will be conducted.
Completion of the Medical History Recording Form (Step 1) is mandatory before proceeding with the Initial Consultation and Screening.
If the form is not completed despite reminders, the scheduled consultation may be cancelled and the appointment slot may be offered to another patient awaiting consultation.
Please bring all your medical reports, scan reports, discharge summaries, and prescriptions for the consultation, including reports that may not be directly related to your current condition. These records provide important information for assessment and rehabilitation planning.
Based on the consultation findings, the Neuro Physiotherapist will recommend and schedule a detailed assessment before proceeding with rehabilitation planning and treatment.

3. Home Care Service (House Visit) Policy

(Home care service means providing rehabilitation at the patient's home when travelling to the centre is not currently safe or practical.)

Home care physiotherapy services are provided only for:

Bedridden patients
Severely mobility-impaired patients
Patients requiring support care

Before starting home care services:

The patient’s family member or representative must visit the clinic.
Relevant medical records, discharge summary, prescriptions, and reports should be brought for review.
Home care assessment charges depend on the time required for assessment, travel distance, and the clinical complexity of the condition.
Once the patient achieves sufficient mobility and is able to travel safely, home care services will be converted to in-clinic rehabilitation.
This transition allows the patient to benefit from a wider range of rehabilitation equipment, exercise facilities, and treatment resources available at the centre, which may further support recovery and functional improvement.
Clinic-based rehabilitation is generally more economical than home care services and may help reduce treatment costs.

4. Assessment Policy

Assessment policy means the process of evaluating the patient's condition, functional abilities, rehabilitation needs, and goals before treatment.
A detailed assessment is mandatory to understand the patient's condition, movement limitations, rehabilitation needs, and treatment goals.
Assessment charges vary depending on the duration, complexity, and nature of the condition.
Certain neurological conditions may require multiple assessment sessions, including cognitive, functional, and behavioural evaluations.
A detailed assessment report will be provided within 48 hours after completion of the assessment.
Assessment findings are considered valid for rehabilitation planning for five (5) working days from the date of assessment. Patients are advised to commence the recommended rehabilitation program within this period.
If rehabilitation treatment is not started within five (5) working days, a repeat assessment may be required to ensure that clinical findings remain accurate and appropriate for treatment planning.

Dress Code for Assessment

Wear loose, comfortable clothing suitable for physical examination and movement assessment.
T-shirt with track pants, shorts, or comfortable trousers is preferred.
Female patients may wear a churidar or saree; however, clothing should allow comfortable movement and facilitate physical examination and assessment when required.
Certain assessments may require access to specific body regions. Appropriate clothing helps ensure accurate examination while maintaining privacy, dignity, and comfort.

Reassessment

A reassessment is highly recommended during the final phase of the rehabilitation program, typically before completion of the recommended sessions, to evaluate treatment outcomes, measure functional progress, compare findings with the initial assessment, and assist with discharge planning.
Reassessment fees depend on the time required, complexity of the condition, and scope of evaluation.
Based on the reassessment findings, the Neuro Physiotherapist will recommend either completion of rehabilitation or continuation of the rehabilitation program.
If continuation of rehabilitation is recommended, the required number of additional sessions, treatment goals, and expected duration will be discussed. Treatment will continue after consent, payment, and scheduling are completed.
If rehabilitation goals have been achieved, the rehabilitation program will be completed, and periodic review sessions may be recommended to monitor progress and maintain functional independence.

6. Consent for Treatment

Consent for treatment means giving informed agreement before starting consultation, assessment, or rehabilitation.
Patients or caregivers must sign a consent form before starting treatment.
Consent confirms understanding and agreement regarding assessment, rehabilitation procedures, exercise therapy, and treatment plans.
Patients are encouraged to ask questions before beginning therapy.

7. During Consultation & Treatment

During consultation and treatment means the guidelines for maintaining a safe, focused, and respectful rehabilitation environment.
To maintain a safe and professional treatment environment:
Mobile phone usage is strictly prohibited during consultation and treatment sessions for both patients and caregivers/attenders.
If there is an urgent need to attend a phone call, patients or caregivers are requested to move outside the treatment area and speak without disturbing the rehabilitation environment.
Patients should wear comfortable and appropriate clothing suitable for exercise and rehabilitation.
Personal belongings are the responsibility of the patient.
Neuro rehabilitation patients are advised to attend sessions with a family member or attender.
Female patients are advised to attend with an accompanying attender.
Questions related to the exercises being taught during the session, including movement patterns, exercise sequence, repetitions, and home exercise instructions, are encouraged and may be clarified immediately.
Other non-urgent questions, concerns, or requests for detailed explanations are encouraged to be submitted in writing. This helps ensure that the allotted treatment time is used primarily for rehabilitation, exercise training, and patient care.

8. Treatment Slot Policy

Treatment slot policy means the rules for assigning, confirming, and maintaining reserved rehabilitation treatment times.
Treatment slots are allocated on a first-come, first-served basis.
Patients who complete the required consultation, assessment, consent process, and payment formalities earliest will be offered the next available treatment slot.
Once a treatment slot has been assigned and accepted, it is reserved exclusively for that patient.
Patients are requested to carefully consider their availability before selecting and confirming a treatment schedule.
Frequent changes to treatment timings, prolonged absences, cancellations, or discontinuation without prior notice should be avoided, as they may affect the schedules of other patients and disrupt the continuity of rehabilitation services.
Many patients attending the centre face physical, neurological, cognitive, behavioural, emotional, or other health-related challenges and benefit from a structured rehabilitation schedule.
Changes to an assigned treatment slot will be considered only under exceptional circumstances and subject to availability.
Reserved treatment slots may be released to another patient if there are repeated cancellations, prolonged absences, or discontinuation without prior notice.

9. Medical & Health Requirements Policy

Medical and health requirements means providing accurate health information and following medical requirements needed for safe rehabilitation.
Patients are advised to follow recommended medical investigations and blood tests when necessary.
Patients may be referred to a physician or specialist doctor whenever medically required.
Patients should provide accurate medical history and disclose relevant health conditions before treatment.
Any new medical condition, symptom, pain, injury, or health concern disclosed after the initial consultation or assessment may require a separate consultation and assessment before further evaluation or treatment can be provided.

10. Diet, Hydration & Physical Readiness Policy

Diet, hydration and physical readiness means maintaining adequate food, fluids, and physical readiness for safe participation in rehabilitation.
All patients are advised to bring water, juice, snacks, or a light meal during rehabilitation treatment sessions.
Adequate hydration and nutrition support safe participation in exercise therapy.
Patients should inform the Physiotherapist if they feel weak, excessively tired, dizzy, unwell, or unable to participate safely in the scheduled session.

11. Punctuality & Time Management Policy

Punctuality and time management means attending on time and using the scheduled consultation, assessment, and treatment time effectively.
Patients are expected to attend sessions on time.
Late arrival may result in reduced session duration.
Delays beyond 15 minutes may lead to rescheduling depending on slot availability.
Consultation, assessment, and treatment time is dedicated primarily to clinical care, rehabilitation planning, and patient education specific to the individual's condition.

12. Payment & Service Terms Policy

Payment & service terms means the rules for payment, service charges, and confirmation of rehabilitation appointments.
Advance payment is required for all services except the initial consultation.
Appointment slots for treatment, assessment, and review consultations are confirmed only after payment is received.
Rehabilitation fees are collected in advance for every 10 sessions.
Payments are non-refundable and non-transferable.
Reserved appointment slots may be released to another patient if payment is not received within the specified time.
Payment policies will be discussed before starting treatment.
To maintain consistency, fairness, and high standards of professional care, rehabilitation fees are fixed and are not subject to discounts or concessions.
E-receipts will be issued for payments made and shared electronically.

13. Video & Photo Documentation Policy

Video and photo documentation means recording images or videos to support clinical documentation, progress monitoring, and rehabilitation guidance.
Videos or photographs may be recorded during treatment for the below points:
Clinical documentation

Research and educational purposes
Sharing exercise instructions with patients through WhatsApp
These recordings help patients perform exercises correctly and safely at home.

14. Emergency & Safety Policy

Emergency and safety policy means the guidelines for maintaining patient safety and responding to urgent health concerns during rehabilitation.
Inform your Physiotherapist immediately if you experience the below signs:
Severe pain
Dizziness
Breathlessness
Sudden weakness
Any unusual symptoms during or after therapy
In case of medical emergency, immediate medical attention should be sought.

15. Limitation of Results

Rehabilitation results may vary depending on the individual's condition, health, participation, and response to treatment.
Rehabilitation outcomes may vary from person to person depending on the below points:
Nature of the condition
Severity and duration of impairment
Physical and cognitive status
Consistency of rehabilitation
Active participation in therapy
Overall health and lifestyle factors

Neuro rehabilitation is a gradual and individualized process. Recovery timelines and progress may differ for each individual. Early intervention, regular participation, and adherence to the rehabilitation program can significantly influence functional recovery and independence.

18. Home Exercise Program Policy

Home exercise program means the exercises and activities prescribed by the Physiotherapist to be performed regularly at home to support rehabilitation and recovery.
Patients are expected to follow the prescribed home exercise program regularly.
The program will be tailored to the patient's condition, needs, abilities, personality, goals, and daily routine.
Home exercises support recovery, future function, independence, and overall well-being.
Patients are encouraged to dedicate suitable time to home exercises as part of their rehabilitation.
The Physiotherapist will guide patients on practical difficulties and help them fit the exercises into their daily routine.
Exercise instructions, including photographs or videos, may be shared through WhatsApp to support correct home practice.
Questions about exercise movement patterns, sequence, repetitions, or difficulties can be discussed during the next scheduled treatment session.
Consistent participation in clinic-based and home-based rehabilitation is important for achieving rehabilitation goals.
Patients will be advised to purchase rehabilitation materials, exercise equipment, or assistive devices when required.
If pain, discomfort, fatigue, or other symptoms increase during exercise, patients should inform the Physiotherapist and report any fall, injury, unusual symptom, or other concern at the earliest opportunity.

19. Rehabilitation Continuity Policy - (why attendance matters)

Rehabilitation continuity means maintaining regular participation and following the recommended rehabilitation program without unnecessary interruptions.
Rehabilitation is most effective when patients attend sessions consistently and complete the rehabilitation program recommended by the Neuro Physiotherapist.
Rehabilitation requires commitment and regular attendance. Irregular participation, unplanned interruptions, prolonged absences, missed sessions, or non-compliance with the recommended rehabilitation program may delay recovery, reduce treatment effectiveness, and adversely affect functional outcomes, particularly in individuals with complex rehabilitation needs, multiple medical conditions, or cognitive impairments.
The duration, frequency, and total number of sessions are determined based on the individual's condition, functional limitations, rehabilitation goals, and clinical progress.
Patients who wish to discontinue rehabilitation are encouraged to discuss their concerns with the treating physiotherapist before making a final decision.
The decision to continue, modify, pause, discharge, or terminate rehabilitation services remains the professional responsibility of the treating Neuro Physiotherapist based on clinical findings, patient safety, participation, and rehabilitation needs.

20. Interruption & Discontinuation Policy

Interruption and discontinuation policy means the rules that apply when rehabilitation is paused, missed, or stopped before completion.
If a patient fails to attend two consecutive scheduled sessions without prior notice, the rehabilitation program will be considered discontinued. The reserved treatment slot will be released and allocated to another patient.
Patients who discontinue rehabilitation and wish to restart treatment at a later date will be required to undergo a fresh consultation, reassessment, and applicable fees before further rehabilitation services can be provided.
If rehabilitation is discontinued before completion of the recommended program, the clinic may issue a "Rehabilitation Discontinuation Summary" instead of a rehabilitation completion summary.
If a patient voluntarily discontinues rehabilitation against professional advice or fails to follow the recommended rehabilitation schedule, MOVHABILY PHYSIOTHERAPY℠ shall not be responsible for any decline in function, delayed recovery, recurrence of symptoms, or adverse outcomes resulting from interruption of the rehabilitation program.

21. Communication Policy

Communication policy means the guidelines for contacting the clinic, physiotherapist, and receiving rehabilitation-related information.
Administrative office hours are from 09:00 AM to 05:00 PM.
Appointment-related assistance, enquiries, and administrative support are available during office hours only.
If you wish to speak directly with the Neuro Physiotherapist, please send a WhatsApp message to 90424 28391 to check availability and arrange a suitable time for discussion.
The Neuro Physiotherapist may not be able to attend phone calls during treatment sessions, as patients may require close supervision, gait and balance training, hands-on assistance, or individualized exercise instruction to ensure safety and effective rehabilitation.
Patients are encouraged to discuss treatment-related questions directly with their physiotherapist.
Queries regarding home exercises should be clarified during clinic working hours.

22. Other Services Policy

Other services policy means the terms for additional services provided separately from the regular rehabilitation program.

Diet Consultation / Advice / Monitoring

Diet consultation, advice, and monitoring are provided as separate professional services.
Services will be provided by Dr. R. Shanmugapriya, PT, BPT, M.I.AP.
Duration and fees are subject to the applicable tariff.

Medical Certificates

Medical certificates may be issued for leave applications, workplace communication regarding rehabilitation, insurance purposes, or other valid requirements.
Certificate charges are applicable as per the current tariff.

Functional Capacity Evaluation (FCE) Certificate

FCE certificate/reports may be issued for fitness assessment, return-to-work recommendations, disability documentation, insurance purposes, or other valid requirements.
For example, an employee returning to work after a prolonged absence due to a musculoskeletal condition or neurological condition may be required by the employer or HR department to undergo an FCE to assess functional capacity and provide appropriate return-to-work recommendations.
Charges are applicable as per the current tariff.

23. Patient Responsibilities

Patient responsibilities means the patient's role in supporting safe, consistent, and effective rehabilitation.
Provide accurate medical information.
Inform the physiotherapist about changes in health status.
Attend appointments regularly and arrive on time.
Respect assigned appointment and treatment time slots.
Follow prescribed home exercise programs.
Follow safety instructions during rehabilitation.
Be considerate of other patients and help maintain a safe, respectful, and uninterrupted rehabilitation environment.

24. Leave Policy

Leave policy means the rules for taking planned or necessary breaks from scheduled rehabilitation sessions.
Outpatient rehabilitation sessions are scheduled from Monday to Saturday.
Home care rehabilitation sessions are scheduled from Monday to Friday.
One casual leave is permitted for every 30 scheduled rehabilitation sessions.
Festival leave is permitted with prior notice.
Sick leave is permitted for genuine medical reasons such as fever, illness, or other health-related conditions.
Patients are requested to inform the clinic as early as possible if they are unable to attend a scheduled session.
If leave exceeds the permitted duration agreed upon by the patient and Physiotherapist in the Consent Form, the rehabilitation program may need to be extended to compensate for missed sessions and support achievement of the rehabilitation goals.
A Leave Consent Form must be completed and approved by the treating Physiotherapist before taking any planned leave.

25. Caregiver Policy

Caregiver policy means the responsibilities of a family member or attender who supports the patient during rehabilitation.
A caregiver or attender must accompany neuro rehabilitation patients during consultation, assessment, and treatment sessions.
Caregivers or attenders must remain present and actively participate throughout the rehabilitation session.
Caregivers or attenders must follow all treatment guidelines, safety instructions, and clinic policies.
Caregivers or attenders play an important role in supporting patient safety, home exercises, and rehabilitation progress.
Only caregivers or attenders named in the Consent Form are eligible to attend review meetings, reassessment discussions, and receive information regarding the patient's progress, prognosis, and treatment plan.
If the designated caregiver is living abroad, out of station, or unable to attend treatment sessions due to work or other commitments, they are expected to communicate with the rehabilitation team through a video or voice call after the session, as advised, to receive necessary updates and understand the patient's progress.
Active family and caregiver participation is important for maintaining continuity of rehabilitation, supporting home exercises, and achieving rehabilitation goals.
Caregivers are encouraged to use the educational resources, FAQ, and rehabilitation information provided by MOVHABILY PHYSIOTHERAPY℠ to understand the rehabilitation process and actively support the patient's recovery.
Regular participation and understanding of the rehabilitation process are essential for caregivers to appropriately support the patient's progress and future rehabilitation needs.

26. Post-Rehabilitation Care Policy

Post-rehabilitation care means continuing exercises and follow-up after the recommended rehabilitation program is completed.
After completing the recommended rehabilitation program, patients are responsible for continuing the prescribed home exercises.
Patients are also responsible for attending recommended review consultations for reassessment, exercise updates, and further advice when required.
Failure to follow the recommended home exercise and review plan may result in deconditioning, recurrence of pain, worsening of symptoms, or decline in function.
MOVHABILY PHYSIOTHERAPY℠ and the treating Physiotherapist shall not be responsible for outcomes resulting from such non-adherence.

26. Exercise Dosing Policy

Exercise dosing means deciding the right amount of exercise, such as repetitions, frequency, duration, and number of sessions.
Exercise dosage is individually prescribed and adjusted by the treating Physiotherapist based on the patient's condition, goals, clinical response, functional capacity, and progress.
Exercise dosage may be increased or reduced in terms of repetitions, frequency, duration, sessions per day, and overall rehabilitation duration as clinically required.
Exercise includes not only physical movement, but also cognitive activities, mental well-being, social participation, daily activities, and lifestyle changes that support functional recovery.
Home exercises and daily activities prescribed by the Physiotherapist are an essential part of rehabilitation and should be followed in addition to supervised treatment sessions.
The patient's daily rehabilitation routine may vary according to clinical condition, rehabilitation goals, functional capacity, personal commitments, work schedule, rest, sleep, and family responsibilities.
The treating Physiotherapist will guide the patient and family/caregivers regarding the recommended daily routine and exercise dosage.
Rehabilitation requires active participation, dedication, and consistent practice. Patients and caregivers are expected to understand, cooperate with, and follow the prescribed exercise dosage and rehabilitation plan both during supervised sessions and at home.

27. Home Exercise Responsibility Policy

Home exercise responsibility means the patient's and caregiver's responsibility to carry out and support the prescribed exercises at home.
The treating Physiotherapist provides exercise instruction and guidance during the patient's scheduled one-to-one treatment sessions.
Home exercise sessions are not supervised or monitored remotely by the Physiotherapist outside the scheduled treatment or consultation time.
Patients and caregivers/family members are responsible for ensuring a safe and suitable environment for home exercises.
Patients and caregivers are responsible for providing the necessary space, assistance, equipment, and exercise materials required at home.
Patients and caregivers are responsible for carrying out and assisting with the prescribed home exercise program as required.
Patients and caregivers should provide regular updates during scheduled treatment sessions regarding home exercise completion, difficulties, symptoms, or other concerns.
Questions or difficulties related to home exercises can be discussed with the Physiotherapist during the patient's scheduled session.
